Coordinate arrival with the other suppliers
Put restroom delivery on the same plan as tents, catering, staging and parking. Give the rental contact the approved entrance and a person who can receive the equipment. Confirm visiting windows with the venue; a reservation for an event does not necessarily include unrestricted supplier access.
Make cleanup and collection separate tasks
After guests leave, staff may still need facilities while the site is packed down. Explain that use and confirm how removal will be requested. Keep the agreed approach open until collection, and ask how a postponed or extended event affects the accepted arrangement.
Use one current timetable for every handoff
Give the receiving and closeout contacts the same accepted arrival, use and collection information. When a venue changes a supplier window, notify the rental business and confirm the revision. A message to another event supplier does not change this order, and the equipment should not be moved to solve a scheduling conflict without instructions.
- One accepted timetable
- Changes sent to the rental contact
- Movement only with provider instructions
