If the occasion uses a managed property, ask who approves the position and entry. Share the proposed cabin or trailer requirements and any connections with that contact. Permission to host an activity does not automatically confirm where a separate supplier can place equipment.
Keep arrivals and removal coordinated
Give the rental business the approved route and receiving window. Include earlier setup and later cleanup in the period of use. Agree who remains responsible for access and concerns when the main organiser is not present, especially for the collection visit.
